One Enquiry, Two Disciplines, One Answer in Spanish
A stencil cleaner spares enquiry came from a maquiladora in Mexico. The engineer who raised it handled both maintenance and SMT process engineering, so a single reply had to cover both worlds—and it went out in Spanish.

The person who emailed you has two jobs, and you are only answering one of them
A spares enquiry came in on 6 Jan 2026 from the Mexican plant of a multinational electronic components manufacturer. The person who raised it holds maintenance supervision and SMT process engineering at the same time.
That combination is common in maquiladora environments, and it changes what a good first reply looks like. The maintenance half cares about uptime, pneumatic safety and consumables. The process half cares about cleaning results and IPC compliance. Answer only one, and the other half of the reader will go looking at a competitor.
Your collateral is written for an org chart that no longer exists
Most technical collateral assumes a clean split: maintenance buys spares, process engineering owns the recipe, purchasing owns the terms. On the floor—especially in smaller plants inside multinational groups—those roles collapse into one person with two sets of questions and one inbox.
Then a second constraint lands on top. This is a plant inside a multinational group, so anything bought locally has to survive a purchasing review that sits outside Mexico. Two audiences, one document, and one of them is reading in a second language.
The result is a familiar stall. The engineer understands the offer but cannot forward it. The buyer receives it, does not understand why it matters, and deprioritises it. Nobody rejects anything. The enquiry just stops moving.
Split by discipline, localise the delivery
Four moves, and the order matters.
1. Identify the roles behind the email signature. Not the job title—the questions the person will be asked. If two sets of questions are coming, two sections are required.
2. Answer maintenance explicitly. Uptime, pneumatic safety, filtration, consumables availability, service intervals. These are the questions that get asked in the first five minutes and skipped in most datasheets.
3. Answer the process side explicitly. Cleaning results, IPC compliance, what the machine does to the stencil over repeated cycles.
4. Deliver it in the plant's working language. Not a translated cover page. The whole artefact, in the language the engineer thinks in, because that is the version they can forward without losing anything. Put the commercial options in the same document—the buyer who receives it is not the engineer who asked for it.
One more: open a technical file on day one. Record serial numbers and service history from the first enquiry. It costs minutes and it is what turns the second order into a fast one.
What we sent, and how fast
Kevin Yang mapped the contact's role, the plant's scale and the existing cleaner model. Jason Wu built the technical package around the pneumatic safety and filtration systems, and produced a Spanish-language demonstration video rather than an English PDF.
The first technical contact was made on 7 Jan 2026—one day after the enquiry. By 8 Jan 2026 the existing machine model was confirmed, the spares list and technical parameters were compiled, and three differentiated commercial options were on the table: a spares kit, an annual maintenance arrangement, and a trade-in. Three structures, because one of them fits the buyer's budget cycle and you cannot know which from the outside.
A technical file was opened on day one to record serial numbers and service history.
Stated clearly: this is a commercial record. The order had not been placed when this was written, and no production measurements exist at this stage.
The forwarding test
Before you send any technical package, ask whether the recipient can forward it unchanged to their buyer. If the answer is no—because of language, length or missing commercial structure—the package is not finished. A document that needs you on a call to survive contact with purchasing is not a document. It is a phone call you have not booked.
